Make every scan count.

A practical guide to creating QR codes, choosing where they lead, and understanding what happens after a scan.

Create your first code

  1. Open Create QR Code. Choose General for a simple link, or a use case to prefill the setup. To build a page, open PagesNew page.
  2. Add the destination or contact details. Give the code a recognizable name and an optional campaign tag.
  3. Customize the design, save the code, and run a test scan from its detail page.
  4. Download the final QR or a print kit. Scan a printed sample before ordering a full run.

Dashboard codes are dynamic: the printed pattern points to a Scanely short URL. Edit the destination later and keep the same printed code. A downloaded static code from our free tools contains its content directly; it has no Scanely analytics or editable destination.

Use a separate code for each placement you want to compare, such as a counter card and a window poster. Tags organize codes; client workspaces separate access.

Hosted file-QR uploads require a monthly Starter, Pro or Business subscription and are excluded from Lifetime. Page photos and PDFs on Scanely Pages are included on Lifetime. Lifetime plans can still link to an externally hosted file through General. A saved code keeps its underlying type; create a new code when you need a different type.

Create with Scanely Pages

Open Pages → New page and preview any of the six templates for free. Choose Use template to create a draft. Drafts and published pages share your account’s QR allowance. Customize the content, theme, layout and photos, then check sample business details before publishing.

Publishing gives you a permanent link and a downloadable QR. On a live page, Update live page makes saved changes visible immediately. Pausing keeps your content but stops visitors from opening the page. The editor warns before you leave with unsaved changes.

Every plan includes six templates, three themes and design controls. Free supports two photos per page and preset accents; paid plans support eight photos, all eight themes, custom colors, PDF blocks and removal of the Scanely footer. Pages are designed for QR visits and are not indexed by search engines.

Free hosted pages show a Scanely footer. They do not show the brief Scanely screen used on Free URL redirects. Paid and Lifetime pages have no Scanely footer. Monthly lead caps: Free 10, Starter 100, Pro and all Lifetime plans 1,000, Business unlimited. Reaching the cap pauses new form submissions until the next month or an upgrade. Full messages, phone numbers and paginated lead history are available on every plan; a paid plan adds complete CSV export. The account-wide allowance is visible in the editor and Leads inbox. Visitors see a paused notice before filling in a form when the allowance is exhausted. Leads for the selected workspace also appear under Leads.

Design, test & print

Customize colors, module and eye styles, gradients and frame text. Pro, Business and all Lifetime plans also support a QR logo. Save reusable designs in the dashboard. PNG and SVG downloads and PDF print kits are available on all plans.

The print kit includes a US business card (3.5 × 2 in), US Letter sign and folded table stand (8.5 × 11 in), a 70 × 70 mm sticker, an 85 × 55 mm card, an A6 flyer and an A4 table stand. It uses a print-focused QR layout with a clear quiet zone, plus your call to action and optional branding. Cards are individual PDF pages, not multi-card sheets. Print at actual size (100%). Its QR styling can differ from the decorative image preview.

Without an account, use free static print templates for reviews, feedback forms, and menus. The Google review generator includes PNG/SVG and print PDF exports. The PDF QR generator encodes a link you already host; uploading a file to Scanely still requires an eligible monthly plan.

For design assets without a background, the free transparent QR tool exports static PNG and SVG in your browser. Place the entire code on a plain light surface. Transparent export is limited to this public tool; continuing to an editable QR starts with a solid background.

Test twice. The dashboard test QR lasts 15 minutes and keeps test activity out of campaign statistics, scan quotas, GA4 and conversions. Never print that temporary QR. Also scan the final exported code at its actual printed size to check readability and the destination.

Print at 100% scale. Contrast and size checks help spot common issues but do not guarantee scanning on every material, camera or lighting condition.

Different links at different times

Available on URL codes with Pro, Business or any Lifetime plan. Add a schedule during creation or edit an existing code. Keep a main destination URL: it is the fallback whenever no scheduled window is active. Hosted pages cannot use redirect schedules.

  1. Choose Every day or Once.
  2. Select the timezone where your business operates. US options include Eastern, Central, Mountain, Pacific, Arizona, Alaska and Hawaii; other world timezones are also available.
  3. For a daily schedule, add a start time, end time and destination for each window. For a one-time schedule, choose the start and end dates and times.

Times follow the selected timezone, regardless of the scanner’s location. Daylight saving changes are handled automatically: an 8:00 AM daily window remains at 8:00 AM local time. Choose Arizona separately from Mountain Time when your business does not follow daylight saving time.

Use up to 12 non-overlapping daily windows. A window can cross midnight, for example 10:00 PM-2:00 AM. The start is included and the end is excluded. Daily windows repeat every day; weekday-specific schedules are not currently available.

During a daylight saving transition, a skipped local hour does not occur and a repeated hour follows the same daily rule both times. The editor rejects ambiguous or nonexistent one-time dates. Scheduled redirects cannot be combined with Smart Routing or A/B testing on the same code.

Smart Routing & A/B testing

Smart Routing sends URL-code scans to different destinations by country, device type or operating system. Rules run from top to bottom; all conditions in a rule must match. The first matching rule wins, otherwise the main URL is used. You can add up to 15 rules.

A/B testing splits traffic across up to five destination variants. Set their traffic weights and enable the test. A browser cookie keeps the assignment consistent for up to 30 days; clearing cookies or changing browsers can change it. Scan counts show traffic distribution. Use conversion tracking to compare the actions visitors complete after arriving.

Both features require Pro, Business or any Lifetime plan. Choose one routing strategy per URL code: a schedule, Smart Routing or A/B testing. A/B testing, Smart Routing and schedules are not available on page codes.

Understand your results

Analytics show recorded scans by code, date, approximate location, device, browser, operating system and available referrer. Location depends on network information and may be unavailable or inaccurate. Hourly charts use UTC; the timezone chosen for a redirect schedule does not change analytics charts.

Repeated scans of the same code from the same hashed IP within one hour are deduplicated. Unique visitors are an estimate based on hashed IPs, not a count of identifiable people. A scan records access to the QR link, not a confirmed purchase or completed booking.

Free analytics cover the current calendar month. Paid plans unlock longer and custom date ranges and unique-visitor metrics. Dashboard insights highlight patterns in the recorded data; limited data can mean there is no useful insight yet.

  • Chart CSV and analytics PDF: export the views available to your plan from the dashboard.
  • Raw scan CSV: Pro, Business and all Lifetime plans. Includes time, code name and slug, location, device, browser, OS and referrer. Filter by date and optionally by QR code; workspace selection scopes the export. Campaign tags are not a column in this raw export.
  • Shareable analytics: Pro, Business and all Lifetime plans can create a read-only link for one code. Anyone with the link can view it without signing in. Rotate or revoke the link to end access.
  • Branded client report: Business and Lifetime Business workspaces provide a PDF report for the last 30 days with the client’s branding.

Measure what happens after a scan

On Pro, Business and all Lifetime plans, open Conversions, enter your website origin (for example https://your-business.com) and choose a goal: lead, booking or purchase. Each personal or client workspace has one conversion project and one selected goal.

  1. Install the provided Scanely script on that website.
  2. Connect it to your consent controls. Initialize with consent disabled and enable it after the visitor’s applicable consent choice.
  3. Send the goal event only after the form, booking or purchase succeeds. Use a stable event ID for that action so retries are deduplicated.
  4. For purchases, send an integer amount in minor currency units, such as 4900 for USD 49.00, with currency USD.

Attribution applies to eligible URL-code redirects whose final destination matches your configured website origin. A signed visit reference connects the scan to the event. The browser SDK uses session storage after consent, so attribution is limited to that browser tab and a maximum of 30 days; it is not cross-device tracking.

The report uses visits from the last 30 days and counts a visit once when it achieves the selected goal. Visits are not unique people. Purchase values come from your website’s events and are not independently verified payments.

Linking to a third-party form or booking service does not automatically report a conversion. You need a successful-action callback or confirmation flow on the configured origin where your script can send the event. Do not send names, email addresses or other personal details as event IDs.

Disabling tracking stops new attribution and events; historical results remain. Read the integration example.

Keep client work separate

Business and Lifetime Business account owners can create up to 30 client workspaces. Each has its own QR codes, analytics, conversion project and report branding. The owner’s QR and scan allowances are shared across their personal workspace and all client workspaces.

Create an invitation for the person’s email and copy the invite link to share it. Scanely does not send the invitation email automatically. The link is single-use and expires after seven days; the person must sign in with that email. Invitees can join on a Free account. A workspace supports up to 50 pending invitations.

Billing and API keys belong to individual accounts. If the owner no longer has a workspace-enabled plan, client workspaces become read-only. For an integration, send the X-Scanely-Workspace header with the workspace ID; see the API reference.

Link health & scan alerts

Paid plans receive daily health checks for active, unmuted codes with external link destinations. Checks include the main URL, Smart Routing destinations and configured schedule destinations. Hosted contact cards, hosted files and hosted pages are excluded. For App download codes, the fallback URL is checked.

A broken-link email requires failures on two consecutive UTC days. It is not an instant monitor. Recovery clears the alert state. A separate silent-code alert looks for a code with an established scan history that has received no scans for seven days.

Silence is a signal to inspect your campaign; it does not prove a poster was damaged or removed. Mute health alerts in the code’s settings when needed. You can also configure a scan-count notification separately from health monitoring.

WordPress & WooCommerce

New to the plugin? Follow the WordPress setup guide, or explore the plugin.

Download Scanely for WordPress 1.1.1. In WordPress, go to Plugins → Add New → Upload Plugin, choose the ZIP and activate it. Connecting to Scanely requires an HTTPS WordPress site.

The Scanely plugin creates QR codes from published posts, pages, products and PDFs in your Media Library. Static codes, Gutenberg embeds, SVG/PNG exports and print templates work without an account. Static codes do not collect Scanely scan statistics.

Choose Create free account / Connect in the plugin, sign up or sign in at Scanely, approve your website and workspace, and return to your saved draft. The native WordPress connection is included on every plan. It does not require a Business API key.

Free includes 3 dynamic codes and 1,000 recorded scans per month. These are the same account limits used by the Scanely app and every connected site. Dynamic destinations and statistics stay in Scanely. WordPress shows cached scan counts after Refresh status and links to full analytics. Use an existing Scanely link QR from the plugin library to keep its code and history without consuming another slot.

Daily redirect schedules and WooCommerce purchase attribution require Pro, Business or any Lifetime plan. Client workspaces require Business or Lifetime Business. WordPress-hosted PDFs remain on WordPress hosting and do not use Scanely file storage.

When enabling WooCommerce attribution, use the plugin’s consent integration and paid-order events; do not also install the browser purchase script for the same checkout. Existing conversion settings for another site are preserved. The plugin does not automatically reconcile refunds.

Disconnect in WordPress or revoke a site in Scanely Settings. Existing dynamic QR codes and reports remain available in Scanely. Public developer API access is a separate Business feature.

WooCommerce order QR codes

In Scanely for WordPress 1.1.1, open WooCommerce to add order QR codes to selected customer emails, checkout confirmation and My Account order details. Each placement has its own switch. Print a 4 × 6 in package insert or US Letter/A4 QR labels directly from an order, or use the bulk action for up to 100 orders. These native features work without a Scanely account or invoice plugin.

In Bulk export → WooCommerce orders, filter orders by status, creation dates or order ID, select across pages and choose Preview & print. Dates use the store timezone. The 100-order print batch limit is separate from your monthly tracked-order allowance. The Products & content tab exports static product, post and page QR codes as PNG ZIPs or label-sheet PDFs.

The QR opens an order page on your store. Registered customers sign in to the account used at checkout; guests enter the billing email to unlock a 30-minute verified session. The page shows status, date, items and total. It does not offer payment, carrier tracking or a public invoice download. Store administrators can replace a compromised link; old printed codes then need to be replaced.

Connect Scanely and enable Order analytics to measure verified, consented QR visits by day, store and document placement. These visits are separate from campaign scans and purchase conversions. Viewing an already-purchased order is not a new sale. Image loads, PDF generation and administrator previews do not count as visits.

One order consumes one slot when first admitted to analytics. Reprinting, rescanning and reconnecting the same site/workspace do not consume another slot. Allowances are shared across the account owner’s stores and workspaces and reset on the first day of each month at 00:00 UTC. Unlimited refers only to tracked WooCommerce orders; your ordinary dynamic QR and tracked-scan limits remain unchanged.

After the allowance is reached, already-admitted orders continue recording eligible visits. Additional orders wait for an upgrade or a future monthly allowance; their QR and customer access continue working. WordPress queues sync in the background, retains unsent visits for up to 30 days and retries outages. A working WordPress cron is required; the administrator can also use Sync pending orders.

Customer names, billing email, addresses, products, prices and private order links stay in WooCommerce. Scanely receives only opaque order and event references, the connected site, placement and time. Detailed events expire according to the plan at ingestion; reports are also limited to the current plan’s retention window. A minimal order ledger remains for quota deduplication until account/workspace deletion. Upgrade does not restore expired events.

Order analytics starts disabled. Customer visits require analytics consent, using the site’s WordPress Consent API preference when available or the order page’s opt-in otherwise. Customers can reopen Analytics preferences to change their choice; sites using the WordPress Consent API manage this through their own consent controls. Disconnecting or changing account/workspace pauses collection until you enable it again. In WooCommerce analytics, the site filter changes the report while the allowance remains account-wide.

After verification, Buy again adds available simple products and variations to the customer’s existing WooCommerce cart at current prices, respecting stock and unrefunded quantities. Completed orders qualify by default. The buyer reviews the cart and completes normal checkout; no payment is automatic. Optional product review links use the native WooCommerce form and its permissions. Product help links can be set per product or use a store default.

WP Overnight is an optional integration for PDF invoices and packing slips. Those PDFs and customer email QR images require PHP GD. Native SVG print previews and browser PDF exports do not. Other invoice plugins are not supported yet.

Preview before printing. Save settings and select a recent order. Email, account, confirmation and print previews do not enroll the order or send email; the WP Overnight preview also leaves invoice numbers unchanged. Explicit print/download prepares analytics when enabled, even if a browser print dialog is later cancelled. Print at actual size, with browser headers and footers off, and test the final QR. Optional WP Overnight templates must include the standard after-order-details hook.

More controls & integrations

Edit page content in Pages. From a code’s detail page, change a link destination, rename it, change the campaign tag, or pause and reactivate it. Advanced settings include an expiry date, a maximum scan count, password protection, UTM parameters and scan-count notifications. Page codes also list leads and can email the owner when a new lead arrives. The form indicates feature availability and incompatible settings.

Pausing, deleting, expiring or reaching a code’s explicitly configured maximum scan count can stop that code from forwarding. This is separate from reaching the account’s monthly tracking allowance. Deletion is permanent.

UTM fields append campaign information to the destination URL for your web analytics. The optional GA4 integration, available on Pro, Business and all Lifetime plans, is configured in Settings using a measurement ID and API secret; it reports scan events and is separate from Scanely’s conversion tracking setup.

Bulk creation imports URL codes from CSV on paid plans, up to 1,000 rows per request and within your remaining QR allowance. Review skipped rows before printing. API access requires Business or Lifetime Business; start with the API reference.

Plans & limits

These allowances apply to the account owner and are shared across their workspaces. A monthly scan allowance resets each calendar month.

File storage: Starter 500 MB, Pro 2 GB, Business 10 GB; maximum 20 MB per file. Hosted files (file-QR) are excluded from all Lifetime plans. Page photos and PDFs on Scanely Pages are included on Lifetime. All plans include PNG/SVG downloads and PDF print kits. All paid plans include bulk generation and health monitoring.

Reaching your monthly scan allowance does not disable redirects. New scans stop being recorded until the next month or a qualifying upgrade. Free URL codes show a brief Scanely screen before redirecting. Free hosted pages show a Scanely footer instead of that screen. Explicit pause, expiry and per-code maximum-scan settings still apply.
